Email Verification: How to Clean Your List (7-Layer Method)
Why Unverified Emails Destroy Deliverability
Sending to invalid email addresses triggers hard bounces. When your bounce rate exceeds 2%, email providers like Gmail and Outlook start routing your emails to spam — not just for the invalid addresses, but for all your emails.
A single campaign with a 5% bounce rate can damage your sender reputation for weeks. The fix is simple: verify every email before you send.
The 7 Layers of Email Verification Explained
Most verification services check 3-4 layers. MegaOutreach uses a 7-layer approach for maximum accuracy:
Layer 1: Syntax Validation
Checks if the email follows RFC 5322 format. Catches typos like john@gmailcom (missing dot) or john@@company.com (double @).
Layer 2: DNS & MX Record Check
Verifies the domain exists and has mail exchange (MX) records configured. A domain without MX records can't receive email.
Layer 3: SMTP Connection Test
Opens a connection to the mail server and checks if it responds. Some domains have MX records but their mail server is down or misconfigured.
Layer 4: Mailbox Verification
Asks the mail server if the specific mailbox exists (RCPT TO command). This is the core verification step — it confirms john@company.com is a real inbox.
Layer 5: Catch-All Detection
Some domains accept email for any address (catch-all). Sending to catch-all domains is risky — the address might not be real, but the server won't tell you. MegaOutreach flags these as "risky" so you can decide.
Layer 6: Disposable Domain Detection
Checks against a database of 40,000+ temporary email services (Mailinator, Guerrilla Mail, etc.). These addresses self-destruct and should never be in your outreach list.
Layer 7: Role Account Detection
Identifies generic role-based addresses like info@, support@, admin@, sales@. These are rarely personal inboxes and have lower engagement rates.
Catch-All Domains — What They Are and How to Handle Them
A catch-all domain is configured to accept email sent to any address at that domain. This means anything@catchall-domain.com will be accepted by the server, even if no actual mailbox exists for it.
The problem: You can't tell if a specific address is real or not. The server says "yes" to everything.
How to handle catch-all results:
- Conservative approach: Exclude all catch-all results from cold campaigns
- Moderate approach: Include catch-all results but cap at 20% of your list
- Aggressive approach: Include all — but monitor bounce rates closely and pause if > 2%
MegaOutreach marks catch-all results as "Risky" with a lower verification score, letting you filter them easily.
How Often to Re-Verify Your List
Email addresses decay at a rate of about 2-3% per month. People change jobs, companies shut down, and inboxes get deleted. A list that was 95% valid 6 months ago might be 80% valid today.
Recommended re-verification schedule:
- Before every campaign: Always verify new leads before sending
- Monthly: Re-verify your existing active leads
- Quarterly: Full list re-verification including previously verified leads
- After import: Always verify imported CSV data
